Summary of the Position:

We are seeking a highly organized and personable Administrative Assistant to support our Human Resources department and serve as the receptionist at one of our downtown Pittsburgh offices. In this role, you will be responsible for managing front desk operations, including greeting visitors, handling incoming calls, manage internal and external mail, and maintaining a welcoming office environment. Additionally, you will assist the HR team with various administrative tasks such as scheduling interviews, coordinating company events, and managing onboarding schedules. The Administrative Assistant must be detail-oriented, possess excellent communication skills, and can effectively multitask in a fast-paced environment.

Primary Functions of the Position:

%26middot; Prepares, generates, and distributes reports and presentations as assigned

%26middot; Performs general office tasks such as filing, ordering office supplies, and preparing meeting material

%26middot; Coordinates travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations; files expense reports on behalf of the HR team.

%26middot; Provides real-time scheduling support, booking appointments and preventing conflicts; coordinates onboarding schedules for new employees as assigned

%26middot; Partners with the recruitment team to schedule and coordinate interviews

%26middot; Welcomes and directs visitors; notifies building security of incoming guests

%26middot; Manages a multi-line phone system and routes callers to the appropriate party

%26middot; Sorts and distributes incoming and outgoing mail; prepares and tracks deliveries

%26middot; Performs miscellaneous job-related duties as assigned

Job Requirements

Education and Experience Requirements:

%26middot Associate Degree or equivalent combination of education, training, and experience

%26middot Minimum of three years of experience in an administrative role

Essential Skills and Abilities

%26middot Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint

%26middot Excellent verbal and written communication skills

%26middot Excellent interpersonal and customer service skills

%26middot Excellent organizational skills and attention to detail
