Job Description:

CACI is seeking an experience Board Coordinator to support programmatic efforts at Norfolk Naval Shipyard in Portsmouth, VA.

 

The Opportunity:

  • Coordinate and execute administrative, business management, logistical, and secretarial duties associated with the business operations of three Shipyard Boards (“Balanced Command Plan”).
  • Serve as the administrative and information control point for the Balanced Command Plan.
  • Ensure Board leadership is aware of Board-related issues that require immediate attention.
  • Work is on the customer site, embedded in the Shipyard industrial environment, to ensure customer needs are being met.

Responsibilities:

  • Responsible for full cycle Board meeting management: develop and maintain Board calendars, develop and finalize Board agendas with designated Leads, generate and maintain Board workplans, generate and distribute advance Board meeting materials, attend meetings and generate meeting minutes, track action items, organize logistics for Board meetings (schedule meetings, reserve rooms, etc.), manage distribution lists, and other coordination as needed.
  • Track and monitor action items database for successful completion using SharePoint or similar tool. Flag actions that require attention and follow up as needed. 
  • Responsible for Board records management, maintenance, auditing, and archiving.
  • Manage the Boards’ information management system (e.g., Shipyard website, SharePoint, Teams).
  • Draft, edit, and distribute Board-related correspondence.
  • Support the execution of contract requirements, which may include submission of supporting data and metrics and timely completion of written reports to stakeholders, customers, and CACI leadership.
  • Other duties as assigned.

Qualifications:

Required: 

  • Must be a U.S. Citizen. Must have the ability to obtain a DOD Interim Secret security clearance and subsequent final DOD Secret security clearance.
  • Bachelor’s degree and a minimum 5 years of work experience supporting one or more high-level Boards or Leadership/Executive Teams. In lieu of the degree requirement, candidates with a minimum 8 years of directly applicable work experience may be
  • considered for this position.
  • Laser-sharp attention to detail and exceptional organizational, tracking, and conflict resolution skills.
  • Proactive and solution-oriented problem solver who can maintain confidentiality.
  • Strong customer service orientation and written/verbal communication skills with the ability to respectfully engage internal and external customers at all levels in a manner that achieves successful outcomes.
  • Proficiency with Microsoft Office Suite and time management, and ability to prioritize multiple concurrent projects and tasks efficiently.

Desired:

  • Expert user level in Microsoft Office Suite, i.e., Word, Excel, PowerPoint, Teams, and SharePoint.
  • Proficiency in graphic design.
  • Work experience with the Naval Maintenance Community, the US Navy, or the Department of Defense.
