Job Description

The GOVX Office Manager will be the face of GOVX and will work to ensure effective use of company resources and a positive office environment for the GOVX corporate office in San Diego, CA. The role will involve engaging with a diverse group of visitors as well as internal contacts at all levels of the organization. The Office Manager will be a key interface for employees and visitors and play an integral role in providing exceptional support to staff and clientele while owning management of the GOVX San Diego office facilities. Independent judgment is required to plan, prioritize, and organize the diversified workload. Responsibilities

  • Pursues effective peer relationships within and across teams to obtain and share resources and information.
  • Collaborate with others to recommend solutions for routine and non-routine issues, escalating complex ones. Assess, respond to, and assist in resolving requests and issues from employees companywide, identifying problems or questions to propose resolutions with limited guidance.
  • Communicate progress and information for all routine and non-routine issues to supervisor while supporting the completion of priorities, deadlines, and expectations.
  • Maintain financial budgets for items stocked including department office supplies, kitchen supplies and company events including weekly lunches, special events, board meetings, and employee gifts.
  • Plan and execute company events including weekly lunches, special events, and board meetings with dinners. This will require travel to locations where the events are being held. Execution of these events must be within GOVX company policies. Travel to/from these events include but are not limited to California and Tennessee.
  • Work with HR and IT on space assignment and office access badges, including management of badge assignments for the San Diego office.
  • Collaborate with other stakeholders to learn about new staffing onboarding activities as they relate to the office and employee morale and owning planning through execution events approved.
  • Responsible for all repair, maintenance requests with landlord and outside office need vendors.
  • Coordinate and manage office calendars.
  • Review and present to supervisor monthly travel reporting provided by third party travel partner.
  • Pick up, sorts, and distributes mail daily.
  • Plan and execute employee gifts at onboarding and throughout the year.
  • Collaborate with stakeholders and IT to display office messages to align with inbound visitors, events, and team requests via front desk marquis and AV throughout the suite.

Requirements

  • This is an in-office position with the work schedule from Monday through Friday (8:00AM – 5:00PM – one hour lunch).
  • Excellent verbal and written communication skills with a passion for serving others.

  • Ability to demonstrate flexibility in work.
  • Proficient in Microsoft Office Suite.
  • Strong problem-solving and decision-making skills with the ability to work independently and collaboratively.
  • Ability to multitask and prioritize workload effectively.
  • Associate or bachelor’s degree preferred.

Supervisory Responsibilities
This position has no supervisory responsibilities.


Travel Requirements
Travel for events is required for this position (<10%).

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Work Location
This is a in-office position working onsite at the GOVX corporate office in San Diego, CA five days per week and work a full eight-hour day. No relocation allowance or visa sponsorship will be provided.

Physical/Mental Demands

  • Physical - This is largely a sedentary role.

Pay Range 
$24.04 - $28.85/per hour
