Your Impact

We are looking for a seasoned and highly efficient Team Assistant to proactively support our organization on a day to day basis. Responsibilities include: 

  • Other related projects and duties as requested
  • Schedule, confirm and manage extremely active calendars which involve coordinating time-sensitive, complex/multiple stakeholder meetings; prioritizing meeting conflicts and forward planning 
  • Provide operational support for all functions including those that handle sensitive and confidential information and materials
  • Prioritize and follow up on incoming issues and concerns including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response
  • Provide wide range of administrative tasks for the division including but not limited to:  processing invoices, expense reports, creating and maintaining personnel files, filing, onboarding etc)
  • Receive and manage a high volume of phone calls, e-mails and responding in timely manner
  • Coordinate regular divisional meetings and townhalls
  • Other related projects and duties as requested

Basic Qualifications

  • Hardworking, good judgment, flexible and motivated to work in a fast paced environment
  • Attention to detail, proactive and efficient with the proven ability to take initiative
  • Organized; good time management skills; ability to multi-task and manage conflicting priorities
  • Able to handle confidential information appropriately
  • Outgoing, self-confident, energetic and friendly demeanor
  • Exhibits curiosity, creativity and quick thinking
  • Team player who can work and contribute in a team environment to achieve goals
  • Experienced in Microsoft Office: Outlook, Word, Excel, PowerPoint and comfortable learning new technologies/applications
  • Excellent telephone communication skills
