Position Title:  Payroll Specialist

Department: Human Resources

Reports to: Director of HR

Category: Non-Exempt

Position summary:

The Payroll Specialist will be reporting to the Payroll Supervisor and assisting in auditing timecards, following up on discrepancies and approvals, and ensuring all payroll deadlines are met. Working alongside the Payroll Team and Payroll Supervisor, you must be able to have strong communication skills, attention to detail, and be able to work in a fast-paced work environment.

Responsibilities:

  • Review timesheets for both Non-Exempt and Exempt employees on weekly basis
  • Send e-communication regarding necessary timesheet corrections, updates, and submission
  • Review and approve expense reports for reimbursement
  • Review new hire and position changes to ensure payroll setup is correct
  • Process final pay for terminated employees
  • Assist with periodic payroll audits
  • Reviews payroll documentation for accuracy through audit reports and makes any necessary adjustments to garnishments, verification of employments, and 401k changes
  • Update employee tax profiles
  • Communicate with payroll service to resolve system issues
  • Assist with development projects and update SOPs and manuals
  • Set up data sets (earnings and deduction import files) for payroll transactions

Position Requirements:

  • Multi-state experience, and at least one complex state payroll knowledge, 
  • Knowlege of external audits and familiar with internal audits
  • Must be comfortable pivoting between tasks and keep up with unresolved items
  • Intermediate knowledge of Microsoft office 365
  • Intermediate knowledge of Excel, knows how to utilize pivot tables and functions to run audits or obtain desired data
  • Must be confident in learning new programs and acquiring new skills
