Project Coordinator

The Project Coordinator is responsible for ensuring quality review (QA/QC) for various aspects of work orders submitted by project managers, tracking work order status in various stages, analyzing reports to ensure work orders are construction ready, as well as other construction coordination/administrative activities further outlined below.\u202f\u202f\u202f

This role works closely with the project managers in our engineering department, as well as various departments within client's organization to ensure work orders remain schedulable for construction.\u202f This position is responsible for work order quality control, revise/add content in the Potelco Design Manual OneNote, outage notifications, report analysis, and other administrative functions/tasks as needed.\u202f 

The hourly pay range for this role is $30-$38/hour.

What You'll Do

Responsibilities

  • Review, analyze, and revise submitted work orders by ensuring proper task setup in the client's software system.\u202f
  • Coordinates daily, weekly work schedules by project phase and provides said schedules to IFS Representatives for IFS's Prior Notification Process to our customers (typically 10-day advanced notice).
  • Reports daily work plans & locations as specified to IFS as required for the utility commission reporting.
  • Actively participates in pre-construction planning and coordination meetings. Responsible for obtaining Municipal and Regulatory permits ROW obstruction permits. This includes providing all documents such as Contractor's insurance certificates, bonds, safety plans, etc., as required to procure permits, and coordinates with Traffic Control vendor and Traffic Control plans.
  • Participates and prepares documentation as requested for project close- out process
  • Promptly addresses and works with field personnel to resolve customer complaints and issues. Coordinator is responsible for upholding IFS's commitment and expectations for high standards of customer service.
  • Responsible for coordinating and managing Contractors utility locating and locate ticket process.
  • Ensures that all Right of Way restoration activities are being carried out per municipal requirements and that all private property restoration activities are equal to or better than pre-construction conditions.
  • Coordinates Security Background Check requirements for all contract crew members including providing badge photos and completed Background Security Check Certification form with signature to IFS Representative.
  • Manage timelines for submissions to ensure timely turnaround to keep work orders pushing forward.\u202f
  • Performs and completes other administrative duties as assigned or requested.\u202f

  • Ability to be flexible as work priorities often shift and must be reshuffled.\u202f
  • Well-developed written and verbal communication, interpersonal, influencing and presentation skills\u202f
  • Ability to effectively present information and respond to questions from other managers, clients, customers, and local permitting agencies.\u202f
  • Valid driver's license and safe driving record is required.\u202f
  • Associate's degree and/or 2+ years of relevant experience in an office setting.

Compensation Range

The anticipated compensation for this position is USD $30.00/Hr. - USD $38.00/Hr. depending on experience and qualifications.
