The Responsible Business team within Verizon's Policy, Responsible Business, Legal & Security (PRLS) organization is seeking an Executive Assistant to support the Senior Vice President full-time in addition to providing related support to the team's leadership team.
Responsibilities include, but are not limited to the following:
Providing high-level administrative support and organizational tasks to keep day-to-day operations running smoothly for the executive and her direct team.
Coordinating complex calendars, including scheduling and arranging meetings - while maintaining sensitivity to changing priorities.
Acting as a liaison, coordinating proper updates limiting unnecessary communications to your leader, and providing decision support with any appropriate analysis, information, and recommendations.
Overseeing the daily operations of your assigned vertical. Prioritize competing tasks and/or deadlines, and track and report standardized measurements of success.
Coordinating on-site multi-day meetings which include catering, greeting guests and external partner teams, etc.
Planning travel including extensive support of international travel for executives and their teams, managing expenses, and overseeing/ensuring safe arrival/transport to and from various international locations.
Planning and coordinating external events including Gala’s speaking engagements, and events associated with grants. Tasks include but are not limited to agendas, invites, ad creation, and reminders/communications.
Acting as the point of contact for the administration of the Corporate Social Responsibility (CSR) executive-level discretionary budgets by communicating with those teams on the causes they would like to support, inviting nonprofits to apply for grants in the Cybergrants system, handling any inquiries, and ensuring grants are fully approved. Acting as the backup for the CSR Finance Manager when he/she is out to review and approve grants in the “Budget Manager” role queue within the Cybergrants system.
Creating, processing, inspecting, and validating team travel & expenses - ensuring compliance with travel policies
Coordinating with other Executive Assistants to resolve executive scheduling conflicts and ensure constant coverage.
Updating and maintaining team Google Drive information, permissions, and other administration of team drives and files.
Updating and maintaining team Slack channels
Managing sensitive matters with a high level of confidentiality and discretion.
Acting as a representative and ambassador to external partners.
Performing ad hoc project-related duties as requested.
Finding new ways to increase office efficiency and innovative ways to support the team.
You'll need to have:
Bachelor’s degree or one or more years of work experience.
Proficiency in Google’s G-Suite (e.g., Docs, Sheets) and Microsoft Office Suite (Word, Excel).
Experience supporting senior leaders and working with C-Suite executives
Even better if you have one or more of the following:
Project management experience in the areas of strategic thinking, managing competing priorities, and a proactive mindset.
Executive support experience.
Experience with facilitation and communication across all levels of the organization.
Proficiency in verbal and written communication.
Experience collaborating with internal and external partners.
Experience building relationships with large complex teams in a high-performance environment.
Five or more years of administrative experience.
Experience with budget management and/or travel logistics, and event planning.
Experience working well independently and under pressure.
Experience using Smartsheets.
A passion for turning ambiguity into order, corporate environment experience.

If you are hired into a California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Rhode Island, Washington or Washington, D.C. work location, the compensation range for this position is between $69,000.00 and $128,000.00 annually based on a full-time schedule. The salary will vary depending on your location and confirmed job-related skills and experience. This is an incentive based position with the potential to earn more. For part time roles, your compensation will be adjusted to reflect your hours.
