The External Investing Group (XIG) is responsible for identifying, researching and selecting leading third-party investment managers. The group provides investors with investment and advisory solutions across leading hedge fund managers, private equity funds, secondaries, GP stakes, real estate managers, public equity and fixed income strategies.

With over 350 professionals across 11 offices globally, XIG helps institutional and individual investors with their program design, manager diligence, portfolio construction and risk management. The investment solutions in XIG have a long history and our programs have seeded and partnered with many of the world's most prominent alternative investment managers.

Today, XIG oversees over $300 billion across portfolios of both customized and commingled fund solutions as one of the world's broadest, deepest and longest-standing “open architecture” programs. We manage globally diversified programs, targeted sector-specific strategies, customized portfolios, and a range of advisory services. Our investors generally access opportunities through new fund commitments, secondary market investments, co-investments, seed capital investments, investment manager equity / revenue share stakes, or fund of fund solutions.

Administrative Assistant 

Responsibilities: 

  • Provides administrative support in a complex team environment to a senior group or executive.   
  • Coordinates complex, senior-level internal/ external meetings and conference calls.   
  • Handles a high volume of phones calls and interacts with high level business leaders in a professional and effective manner.  
  • Supports internal and external managers or clients.   
  • Organizes and ships literature to clients.   
  • Responds and follows up on client requests.   
  • Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics.  
  • Coordinates a high volume of domestic and international travel arrangements and processes expense reports.   
  • Prepares and distributes divisional correspondence, memos, letters, reports or other documents as requested.   
  • Maintains understanding of firm policies and handles certain issues independently.  
  • Manages monthly invoices and arranges for payment.  
  • On-boards new hires, processes new employees, transfers, termination, etc.  
  • Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events.   
  • Orders supplies and keeps inventory well-stocked.

  • Demonstrates high degree of integrity and confidentiality.  
  • Strong organizational skills.  
  • Comfortable working with people at all organizational levels, including experience supporting Senior Executives
  • Comfortable working in a sometimes hectic, high pressure environment.  
  • Ability to display a consistent, professional degree of communication 
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.  
  • Must be able to manage phone coverage and heavy calendar management
  • Must have excellent judgment; independent thinker and resourceful. 
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook, Concur, Amex Travel or similar
  • Team player with a positive attitude. 
  • Highest degree of integrity, professionalism, diplomacy and discretion required.  
  • Prefer 3+ years of experience. 

Salary Range 

The expected base salary for this New York, New York, United States-based position is $65000-$110000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
